This blog is a round-up of the Best Apps for Therapists as Recommended by Therapists.

The latest statistics show that worldwide, 86% of us own a smartphone and on average adults are spending anywhere between between 2.9 hours to 6.7 hours a day using smartphone apps.

From ZOOM sessions to admin to marketing and advertising, counsellors and psychotherapists around the globe are leveraging the power of handheld technology and running their private practice business coaching, counselling, psychotherapy and clinical supervision practices online and via their iPad or iPhone.

Organisation & Task Management Apps

Focusmate

Virtual co-working for getting anything done.

My favourite app is FocusMate.

I hop on a FocusMate session at the end of every clinical day to do my progress notes. It’s a great way to have external accountability, consistency in my schedule, AND to meet new people around the world for body doubling sessions!

Notion

More than a doc. Or a table. Customize Notion to work the way you do.

My favourite app is Notion.

I use notion daily to organise and manage every element of my business, including task tracking, project management, content creation, idea storage, daily/weekly/monthly/yearly reviews, goal setting, team communications etc.

I love that it’s a powerful database software that creates easy methods of storing, tracking and resurfacing the multitude of moving parts that come with running a business, so that the right information presents itself at the time you need it most.

It does take a while to customise to your liking and to understanding the more technical elements which may make the app prohibitive to those looking for a simple solution, but once the system is setup it becomes an invaluable productivity tool, if that’s your jam.

Trello

A kanban-style, list-making application.

As a practice owner, organisation is important, so what to do if you aren’t inherently organised like me? Get Trello! It allows you to create multiple to do lists with timelines, priority rating and you can add people and allocate tasks. The other great feature is you can use it on your phone or PC so you can add tasks and to-do lists whenever you think of them.

Notes App It is a game changer for organizing! From tracking dreams a la Jung and NLP to pre-planning my social media content to retreat planning to managing life as a single mama and entrepreneur or even recipe documentation, I love having everything in their cozy filling system saved in the cloud. Never losing papers again and saving the environment being paper free!

CANVA

Canva makes it easy to create professional designs and to share or print them.

Canva is a design app that is completely intuitive to use. I love that there are templates for everything you need in a private counselling practice and also the functionality to start a design from scratch if you have a more nuanced creative vision for something. I use it to tweak images, design social media posts and design resources for clients.

Snapseed

A photo-editing application that enables users to enhance photos and apply digital filters

Otter.ai

Otter.ai saved so much time for me. It’s a transcribing software that has many user friendly capacities. I am a PhD student and generally an avid learner. Other than using Otter.ai for my research, I also use it to record my thoughts, or to make it easy to make notes for blogs or other writing, or when I watch psychotherapy webinars. The main feature I like that it almost understands my accent ????.

I use it myself for maintaining a regular self-compassion practice, as well as highly recommending it to clients and colleagues.

Insight Timer is a meditation/ mindfulness app, with a huge choice of guided meditations and mindfulness courses from a variety of techniques and perspectives, and the search options are extensive (even down to the voice, such as male or female voices which are great for those who may have suffered trauma and feel safer listening to one sex). You can also create your own timed meditation with different background music options and functions. Excellent if you’re wanting to begin a meditation or mindfulness practice!

The content covers many aspects of anxiety, including insomnia, worry, panic attacks, DP/DR, intrusive thoughts, health anxiety and more.

Recovery Record

The world’s best tool for eating disorder management.

My favourite app is Recovery Record.

Recovery Record is an effective tool to help me stay connected to my clients who need more significant support and accountability with food and triggers, while developing better thought and emotional awareness. This app connects me to my clients in real-time as they safely log their meals and snacks, other environmental specifics, and how they feel. I can then support them on the platform or reach out via text in moments of need; moreover, when I want to acknowledge and praise them for achieving a preset goal or overcoming a challenge. The main feature I like most about Recovery Record is that it started as a food log app specifically for those with eating disorders and was designed to be sensitive to this population. Since the startup, Recovery Record has evolved and has all sorts of tools to help professionals like myself and our clients.

Day 1 Journaling

The Day 1 Journaling app is wonderful because you can set reminders for journaling, it offers a journal prompt daily if you need it, as well as voice to text, or you can use a photo with your journal entry. It’s also password protected!

Social Media Apps

Pinterest

An image sharing and social media service designed to enable saving and discovery of information on the internet using images, and on a smaller scale, animated GIFs and videos, in the form of pinboards.

My favourite app is Pinterest.

Pinterest is an incredible resource full of quotes, symbols, and images that are helpful in giving language and hope in the therapy room. I invite clients to create their own boards to inspire them with a particular direction they want to go. This can be an alternative way of offering journaling and developing incite into a client’s journey. A picture tells 1000 words. 

Facebook

One of my favourite apps is Facebook.

Love it or hate it, Facebook has absolutely helped me build my business. On my public page, I can schedule and share curated graphics, blog posts, and links to relevant articles with my own commentary. I love the ability to add a “send message” button to posts, as some followers don’t want to comment publicly. In my three private groups for straight spouses, I build the “know, like and trust factor” through more personal interactions. Weekly themes, resources, pre-recorded video and Facebook lives add value, while polls provide deeper insights. Members appreciate the anonymous posting option for sensitive questions and I love interacting with a warm audience where I can share my blogs and paid offers.

YouTube

Enjoy the videos and music you love, upload original content and share it all with friends, family and the world.

Quickbooks

Easy to create invoices and track expenses. You can easily track every check, credit card and debit card purchase, and all your online payments in QuickBooks.

Quickbooks makes managing my private practice bookkeeping easy, quick, and seamless. Beyond the initial set up, I spend only a few minutes twice a week approving allocations for expenses and income. I love that you can automate the process, so I’m mainly just reviewing and marking, “yes, yes, yes; done!” On the reporting side, I can get an up-to-the-minute snapshot of my business financial picture at any time, day or night. A bonus is that I can give my accountant access to my books, for oversight and guidance.

YNAB

You Need a Budget is a multi-platform personal budgeting program based on the envelope method.

IFS Guide

BeFriending your Parts one tap at a time, anytime, anywhere!

Counsellor. My niche is in fertility, pregnancy, and grief and loss.

My favourite app is the IFS Guide.

The IFS Guide is a great app for people wanting to do some solo work with their parts. The app facilitates messaging with your Parts just like texting your friends and guides you step-by-step through getting to know and checking-in with your Parts. There’s also step-by-step guidance on unblending when needed.

Community APPS

Heartbeat

Name: Karen Bieman, Registered Counsellor & Trauma Recovery Coach. I work with straight spouses who have, or had, a closeted LGBT partner.

One of my favourite apps is HeartBeat.

HeartBeat is a private community app that’s like a Facebook group but better! Features include video/voice chats, discussion threads, messages, match-ups, embedded video, groups, courses, events and more, all on my own domain with an android/apple app. I love the capacity to create a purpose-built, private, distraction-free space specifically designed to serve my community members.

Voxer

Secure, real-time communication in one powerful push-to-talk (PTT) app. Works with iPhone, Android, and the web.

Voxer is a walkie talkie ap that I love to use for coaching. In laser focused 30 minute sprints, we talk and type simultaneously, covering twice as much as we would in a Zoom call. And for more spacious coaching, I love that working through voice notes means I can offer Voxer Office Hours, Voxer VIP days and Voxer groups without squishing too much into my day. I love the voice-to-text transcribe function and that I can keep all my colleague and coaching conversations in one app.

One of my favourite apps is ETSY.

Etsy started out as a global marketplace for unique and creative goods. It is now home to a universe of items, including resources for clients and therapists. I have owned an ETSY store for private practice downloadables and templates since 2020. I love the app to keep track of my sales and to communicate on the go with the therapists who purchase my forms. Once someone has purchased one of my blogging products, I send them a message inviting them to my Facebook group (Blog Your Way to Private Practice Success), where they can access support and share their blogs. I also use the app to purchase unusual items for my own business and to share shop creation ideas with my private practice coachees as a way of making an alternative income stream.

There’s nothing like having a new app that transforms how you use your local library. Borrow eBooks and eAudiobooks free from your library using our BorrowBox app.

You may also find me reading while driving, cleaning, and occasionally cooking.

I use Shazam to identify songs to use on my Instagram Stories and REELS. I also LOVE that it has Top 200 lists which means that if I use one of these songs, #tag the name of the song on the story or reel, there is a greater chance of it being viewed. Spotify

Play millions of songs and podcasts on your device.

This app is my life blood as a therapist who uses music listening every day! I love that I can create playlists, can look for different performances of the same piece, that it makes recommendations and, possibly best of all, that I can send the music to clients so that they can access the music as a resource and support in between sessions.

When I go for a walk or pop into the garden for a few minutes to clear my mind between clients, the Seek app is a fun way to focus on the awe-inspiring natural world around me. It helps me to notice what I am seeing in the moment (plants, trees, birds, animals, insects, fungi, etc), educates me, and builds up a great photo collection. You can have fun with it too: it correctly identified my miniature Schnauzer as first a mammal, then a carnivoran, and finally a ‘domestic dog’!

iFit

My favourite app is iFit.

iFit is a gym/yoga studio/personal trainer all in one. I use it in conjunction with my NordicTrack Treadmill but you can also sync it with the studio bike, rowing machine or use the app on its own for meditation, yoga or cooking classes! I really love the world travel, outdoor training series, and am currently on a 24 workout trekking series through the Swiss Alps. My morning workout sets me up for my psychotherapy day.

Feel Better

Championing a 360 approach to wellness across plant-based recipes, exercise, mindfulness and sleep, the feel better app helps you discover simple, effective ways to improve your health.

Feel Better is a comprehensive app for all-round wellness that I use on a regular basis. Originally just for plant-based recipes, it now includes a library of movement practices, meditations, sleep support, and articles with advice on general wellness. With so many tasty choices, I’d recommend it for the recipes alone!

I use this app to find options that suit the needs of a family with differing dietary requirements and preferences.

Splose

The all-in-one platform for small to medium providers featuring an online booking system, online forms, budget tracking and invoicing, and more making it delightful!

My favourite app is Splose.

Splose is an online client management system, developed for allied health and I use it for my bookings, case notes, wait listing and invoicing. I love how user friendly it is, simple to set up and customise – as well as the very responsive customer help – it has streamlined my weekly admin and frees me up to focus on the more interesting parts of private practice.
